"If MediFacts appears down whom do I call?"

"Does MediFacts have help screens online?" 


Yes, The MediFacts has help online of two flavors: "How To" and "informational". Our help screens, for the most part, have been built by practitioners using our software. The informational help defines certain fields and any assumptions made on the reports.

"What if I decided to leave MediFacts; what happens to the patient data?"


In the rare event this would happen, as soon as you give the documented the okay, MediFacts has the Policy that unless instructed otherwise by the ultimate owners of the PHI or ePHI data (The Patients), advice of counsel, or judicial mandate MediFacts would keep the data live and rolling for your use as long as you maintain a valid, verifiable log in.  The worst that would happen is the MediFacts Security offer might inactivate the user log in if the account has not been accessed for several months. This is the same policy our employees and clients are managed under in our active accounts. In those cases we would just activate the account again. The patient data would be held ready for use until the paper legal requirement for retention has been met under your state law. At that point the data would be removed from the system under the HIPAA disposal of ePHI strictures. MediFacts believes this continuing visibility of patient data makes sense.

"My practice does not take Medicare; do I need MediFacts?"


Yes, MediFacts was founded on the idea that streamlining physician’s back office process operations and improving the patient experience through the use of scalable technology is an overdue; clear win for all parties regardless a regulatory driving force.

"Does MediFacts charge for support?"


The answer to this question would depend on the structure of the rest of the contract. These are negotiated on a case by case basis.

"Will MediFacts charge for system upgrades?"


No we do not currently charge for operating system or software tool upgrades.

"Is the MediFacts architecture better than my stand alone office based PC package?" 


Yes, there are two obvious answers supporting our answer: technical economies of scale and patient data security, best illustrated by a real example case.  


report that the backup failed and then the data was accidentally  corrupted by office staff; so the net result after weeks of working to recover, they lost one month of patient data since all 5 copies of the backups were also corrupted, and they were left with the embarrassing task of calling patients to find out when their next appointments were scheduled.

MediFacts would not have allowed any of this to occur. Our backups are all off site and our highly trained technical staff and MediFacts Management would have been immediately notified at the time of the event that the backup failed and taken remedial action. MediFacts can do this because we spread the cost of highly trained technical people and sophisticated backup techniques over many clients.

"Does MediFacts provide advanced warning of system outages?" 


Yes, assuming we are the cause of the outage. We try to stay out of prime time for planned outages. For uncontrolled outages i.e. network connection failure we will notify you of the problem and the resolution scenario. The Business Continuity Plan has an extensive discussion on unplanned happenings.  

"I currently have a biller on site; can they use the MediFacts billing software?" 


Yes, the best way for this to work is for our experienced billers to help your biller the first few times through the process. We are always available if your biller gets stuck or needs expert advice on getting a problem claim through the insurance process.  

"Does MediFacts charge even if I don’t use all the modules?"


Since the only fee anyone pays is our flat percent of revenue overall MediFacts fee and the modules interoperate, we do not have per module pricing.  We believe our simple fee structure reduces lost time associated with constant ‘Is it covered or not” discussions so you can focus on patients and we can keep building “right” things into the system to help your practice.

"What training does MediFacts provide?"


Pretty simple, we will train your people in person on MediFacts to meet your practice needs in whatever format or venue suits you best. We will coach your people as new features and improvements are added to the system either in person or via telephone as appropriate.

"Does all my staff see the same data?" 


Yes but only if their MediFacts permissions allow them to see the helpline data.  The permissions system allows you to tailor what your staff can see, change, print, import, export, or delete. The MediFacts permissions system meets HIPAA and MU requirements in a more granular form than required by HIPAA or MU. 

"How long after a disaster on the MediFacts computer will my system be back online?"


The length of time to get you back up depends on the extent and nature of the disaster. The Business Continuity PlanClick Here, a HIPAA required document, has more detail and specific scenarios.  We practice the total loss case once a year and make improvements to shorten the recovery time as we note them. You will receive status updates throughout a real the recovery process.


​This is what we have. Assuming a lengthy outage for the production system is required, we have a 24/7/365 warm and rolling MediFacts image system in a geographically dispersed location.  After the decision to move is made and legally required transfer of control documents transpire the backup system will be enabled and you will be notified. We will run some pointed, focused tests around functionality and security before the backup system is released to the customers. Login addresses in your offices will be redirected to the test machine.  We’re back.

"What about my old patient records, do I have to reenter data if I switch to MediFacts?"


If your current system can export an Excel file, CSV, or any other known file construct containing your patient data we will do a direct import. If your current system cannot do this, unfortunately, unless we can find another avenue, patient demographics and insurance data will need to be entered by people.

"Does the physician have access to their data from anywhere?" 


Yes, physicians can log onto MediFacts from anywhere.  We would advise one not to use sensitive parts of MediFacts if you cannot ascertain the WIFI router you are using is secure.

"Can I use the MediFacts billing software and not the EHR software or vice versa?"


Yes, you can, but your practice needs both. Your Total Cost of Operation will be higher if you don’t use both in tandem and interconnected. If you only want to use the Medifacts billing system, our demographics, insurance, appointments, and permission control modules common to the EHR must be used.

"Does the patient have access to their data from anywhere?" 


Yes if the MediFacts demographics, prescription history, drug interactions, allergies, lab test history, diagnosis history, and discharge documents features are turned on and they or the emergency personnel have access to the Internet.

"What is an intrusion alert?"


For some an intrusion alert is merely a documented log of attempts by someone to log onto the system, MediFacts does have and does review those logs.

MediFacts also has software that monitors suspicious activity on the system.  To the point, “someone has potentially gotten behind our elaborate security and permissions net and they maybe are on the system masquerading as someone else.”   The exact detection technique is not for publication for obvious reasons but if a problem is detected top management gets an immediate text on which they take action.

"Does the ASC software manage my inventory?" 


Yes

"How do I request a change to MediFacts?"


MediFacts has a whole dedicated module to securely manage the change process. Anyone requesting a change to MediFacts uses our Program Change Request (PCR) system. No changes are made without an approved PCR. Generally, the system works like this: A change request is generated by the customer communicating the exact needed change to the account’s MediFacts customer executive. Together they work out and enter into a standard PCR form the details the programmer needs to know, the expected outcome of the change, the business reason for the change, and any timing concerns. The PCR request submission is stored on the system for approval by The MediFacts CIO or his designated proxy. 


As the PCR passes through the construction phase each step is tracked so we know the current status at any point in time. Once programming is complete the PCR is implemented on our separate stand alone “Test System” for quality control by the customer, programmers, and other interested parties. The customer receives an email with testing instructions if required.  No changes go into production without passing quality control. When the PCR meets the customer’s needs the MediFacts CIO or his designated proxy approves the change to the production system. When the PCR code is installed on the production system the customer is notified.

"I own an ASC; what special software do you have to help me manage the facility?"

"Are there any yearly MediFacts maintenance fees?"


The answer to this question would depend on the structure of the rest of the contract. These are negotiated on a case by case basis.

"Will MediFacts help me with HIPAA and HITEC compliance and are any fees involved?"

MediFacts will advise you on the steps you need to take in your practice or company to be HIPAA & HITEC compliant, utilize software in a HIPAA complaint way to protect your patient data, have documentation available to demonstrate the HIPAA compliance of the MediFacts system, and make resources available if you are audited. No fees involved unless travel to your site is required.

"How do I know if my data backup fails?" 


You don’t, we do. Key, highly trained MediFacts personnel and our MediFacts Security Officer get an immediate email and or text if the backup fails and immediate problem resolution begins.

"Where is the backup of my data stored?" 


Encrypted backups are stored in several secure geographically diverse places around the US. We can get to them from anywhere.

"Am I charged for calls to the help line or training?"


The answer to this question would depend on the structure of the rest of the contract. These are negotiated on a case by case basis.

"How do I get a MediFacts log on ID for a new employee?"


When a new person comes on-board we would expect an email to the MediFacts administrative officer or a phone call and confirming email confirming the person’s name and a general description of the parts of the system you are authorizing them to use.  This is a legal requirement.  MediFacts security personnel would assign them a user name and set permissions. The user name and HIPAA security admonitions are then communicated to the new user. The first time they try to log on they will be asked to set a password. Bang they are on.

"What does Meaningful Use do for me?"


If you take Medicare/Medicaid obviously there are monetary incentives from Social Security for the use of a certified EHR. These incentives are twofold: a cash incentive and negating an ever increasing penalty on your reimbursements. 


​Not so obviously, for those not taking Medicare, Certified Meaningful Use touches most of the ideas of streamlining back office processes operations and improving the patient experience through the use of technology in our product. "What happens If I am out and need one of my staff to handle a medical situation that I usually have reserved for myself?"


MediFacts has an emergency or “break glass” option that allows a member(s) of your staff to perform selected services that are normally done by the physician. The authorizations are set up ahead of time by the physician, the designated employee(s) enters those predefined designated areas, performs the task, and MediFacts logs all actions for your review.

"If a patient comes in with their information on a thumb drive can I import the data into MediFacts?" 


Yes if the data on the thumb drive was produced by a certified EHR facility and your antivirus program is enabled. All imports are logged into the security log.

"Is help available 24/7?"


Yes, our online help screens are available anytime except during our short, in the middle of the night, system maintenance period. Our phones are always open. 

"What training does MediFacts provide?"

"If I terminate an employee how do I get system access revoked?" 


A phone call and confirming email to the MediFacts security personnel with the employee's name and timing of it is critical.

"What is a patient portal?" 


A patient portal is a secure place the patient enters to look at their data as required by MU and expanded by MediFacts. The patient is either given or is emailed a link to the portal and a user ID. The first time the patient enters they create their own password conforming to our guidelines. After a set of patient security questions are correctly answered access is granted.

The site then, in a secure manner collects from the MediFacts system, displays the latest patient information, and logs the visit. The information is robust in content for those physicians using the MediFacts EHR features: demographics,  escribing,  drug interactions, allergies, lab tests, and diagnosis history. The hotline can be printed or downloaded.

"Can other Physicians see my data?" 


No, all data is physically segregated by Physician on separate files on the database and protected from unauthorized entry by the robust MediFacts permissions module.

"Can I use MediFacts to transfer patient data to an ASC or Hospital?" 


Yes if the ASC or hospital is using a certified EHR.

"Who on my staff can see, update or change patient data?"

"Is the hardware and network in my office okay to use with MediFacts?"
